SitesDoc is an iOS app that a building inspector uses to produce weekly inspection reports. It is a personal professional tool: the app runs on the user's own phone and works on the user's own Google account. We do not run a user database or an advertising service.
1. Data the app handles and why
| Data | Why |
|---|---|
| Google account name and email address | Sign-in; showing which account is connected; sending reports from that address. |
Google Drive: the app requests full Drive access (the drive scope). It is used for the app's own SitesDoc folder (photos, videos, PDFs, project data files, assistant memory notes) to look for its own settings file by name, and to list existing folders so reports are not duplicated. When the user taps the "duplicate copies" button (Settings, Storage), the app reads the names, sizes, dates and checksums of the files and folders in the Drive account (not their contents) and, on the phone, keeps only those inside its own SitesDoc folder. | Backup and restore of the user's own reports, and avoiding duplicate folders and files. The app does not open or read the contents of files outside its own folder. |
Gmail: sending messages (report emails with PDF) and read access to the whole mailbox (gmail.readonly) | Send the report from the user's address; show which reports were already sent and to whom; and, when the user asks the in-app assistant, search and read the user's messages (including their full text) to answer the request. |
| Gmail mailbox changes (archive, move to trash, mark read/unread) and Google Calendar (reading events, adding events) | Only when the user asks the in-app assistant for it; the permission is requested at that moment. Reading events happens when the user asks and needs no further approval. Changes to the mailbox and adding a calendar event need the user's approval each time. The app does not edit or delete existing calendar events, and no permanent deletion and no sending are done through these permissions. |
| Google Photos (selected items only) | Optional import of photos the user picks from a second phone, through Google's Photos Picker. Only items the user selects are read. |
| iPhone photo library | Choosing photos for a report. When the user asks, the in-app assistant can look at gallery photos (see Anthropic in section 3). |
| Photos, videos, text notes, project details (site name, address, contractor, phone numbers) | The content of the inspection reports. |
| Location (precise, only while the app is in use) | Show which site the user is at, sort projects by distance, save a point for a project, show the site on a map. Addresses and coordinates are sent to Apple's location services to convert between addresses and coordinates. |
| Camera, microphone, speech recognition | Taking photos/video, voice notes, dictating notes. Dictation uses Apple's speech recognition; for saved audio files the audio may be processed on Apple's servers. |
| Error and diagnostic information | Fixing crashes and bugs, and measuring the quality of the assistant's answers (see section 3). |
The app has no advertising SDK, no marketing analytics and no cross-app tracking. We do not sell data.
2. Where data is stored
- On the user's phone (app storage): projects, reports, photos, videos, notes, and a local activity/diagnostic log kept for about 14 days. The log file itself is not uploaded as a file, but its last 200 lines are attached to warning and error reports sent to Sentry (section 3), after automatic removal of secrets, email addresses, phone numbers and long identifiers; lines recording conversations with the assistant are replaced by a placeholder and their text is not sent, and the on-screen labels in tap, gesture and navigation lines are masked as described in section 3. The app does not mark its data as excluded from iOS device backups, so, depending on your iPhone settings, it may be included in your iCloud or computer backup.
- In the user's own Google Drive: the backup folder created by the app. We (the operator) do not receive a copy of these files; they are in the user's account and under the user's control. Videos: when a report is sent, its videos are uploaded to the user's Drive with a link that anyone who holds the link can open, without signing in. The link is included in the report that goes to the recipients; anyone they forward it to can open it as well. The app includes a function to revoke such links.
- In the iOS Keychain on the phone: the assistant's API key (stored with this-device-only access) and the sign-in token of the optional second Google account (stored in the Keychain without the this-device-only option). iOS may keep Keychain items on the phone after the app is deleted, and the app does not remove them when it is deleted.
- Google sign-in tokens are handled by Google's sign-in library on the device. The app does not copy Google user data to any server of ours, and it never sends a Google access token or other Google credential to any third-party server.
3. Third parties that receive data
| Recipient | What is sent, and when |
|---|---|
| Google (Drive, Gmail, Calendar, Photos, Maps) | The operations above, using the user's own account. The site-plan map uses the Google Maps SDK, which communicates with Google to display the map. |
| Apple | Addresses and coordinates for geocoding; dictation audio and speech for recognition (processing on Apple's servers is possible). |
| Anthropic (Claude API, api.anthropic.com) — the in-app assistant | The user's messages to the assistant and the context needed to answer: report text, extracted PDF text, project facts, the content of emails and calendar events the assistant reads at the user's request, files attached in the chat, voice transcripts, and, when the user asks the assistant to look at photos (from a report or the iPhone gallery), a limited number of downscaled photos. Sent only when the user uses the assistant, using the user's own API key. Anthropic's handling is governed by Anthropic's own terms and privacy policy. |
| Sentry (sentry.io, EU region) — error reports and assistant-quality events | Technical error reports: error type, stack trace, app version, device model/OS. For warnings and errors, up to the last 200 lines of the app log are attached, after the removal described in section 2: secrets, email addresses, phone numbers and long identifiers are removed; assistant conversation lines are replaced by a placeholder; on tap and gesture lines, the item named after the action (for example a project name or a note title) is replaced; on assistant-conversation and memory screens, any label longer than 20 characters is replaced; labels that were cut off with an ellipsis are replaced; note titles on navigation lines of the memory screens are replaced (the app's list of project names is also replaced wherever it appears in a line); and the assistant's "where am I now" context line is replaced. What can remain in those lines is the time, the screen name, the kind of action (tap, gesture, navigation), button labels and screen titles on screens other than the conversation and memory screens, and short plain labels. The masking is automatic and best-effort; it does not read the meaning of a text, so a short label that happens to contain a name or other text can still pass through. Assistant-quality events carry metadata only: the event type, tool or rule names, counts, text lengths, and a short fingerprint (hash) of a text that is used only to group similar events; the text of the user's requests and of the assistant's replies is not sent. The app sets no user identity (no user ID, no email, no IP address field) on these reports and removes the app-and-device hash that Sentry's library would otherwise add, so reports from the same phone are not grouped by a device ID; it does not record console output as breadcrumbs. The Sentry project is configured not to store IP addresses, but Sentry may still derive and store an approximate location at city level (for example "Tel Aviv, Israel"; measured on a live event 02/11/2026) from the connection. Technical error text, such as an exception message, is sent as the app or the system produced it. Performance tracing is off. Crash reports do not include the log. |
| Email recipients chosen by the user | The report PDF, sent from the user's Gmail. The report includes the video links described in section 2 and may include navigation (Waze) links that reveal the site's location point. |
Report-submission bridge (optional). The app never sends a Google access token or any other Google credential to a bridge server or to any other third-party server. The app also has an optional capability to submit a report to a construction-management portal through a private bridge server run by the operator; it is not available to users in general. Only when it is configured and the user explicitly submits a report, the report's photos and fields (such as project name, date, contractor, address, contacts, report notes) and the recipient list are sent to that bridge server, and no Google credentials are sent.
We do not share Google user data with anyone other than the parties listed in this section, in the circumstances described there.
4. Google API Services — Limited Use
SitesDoc's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements. The use of information received from Google Workspace scopes (Drive and Gmail) will adhere to the Google Workspace API User Data and Developer Policy, including the Limited Use requirements.
- We use Google user data only to provide and improve the user-facing features described above (backup, sending reports, assistant actions the user requests).
- We transfer Google user data to others only to provide those user-facing features, with the user's consent and request (for example the assistant in section 3), for security purposes, to comply with applicable law, or as part of a merger, acquisition or sale of assets after obtaining the user's explicit prior consent.
- We do not use Google user data for advertising, and do not sell it or transfer it to data brokers or advertising platforms.
- We do not use Google user data to create, train or improve artificial-intelligence or machine-learning models, and we do not transfer it for that purpose. The in-app assistant (section 3) processes data only to answer the user's own request.
5. Retention and deletion
- Deleting a report or its photos and videos in the app removes them from the phone. In Google Drive, deleted photos are moved to the Drive trash (Google empties the trash after about 30 days, and until then they can be restored from it), and deleted videos are moved to a folder named "removed" inside the app's own Drive folder; the app does not permanently delete files from Drive. Deleting a project in the app removes it from the phone only; the project's folder stays in Google Drive until you delete it there. You can also delete the app's folder in Google Drive yourself.
- Deleting the app removes the local copy on the phone. It does not remove Keychain items (see section 2) or anything in Google Drive.
- Revoke the app's access at any time at myaccount.google.com/permissions.
- Your report data lives in your own Google Drive and on your phone, and you can delete it yourself as described above. Error reports sent to Sentry are held under Sentry's own retention settings. For any other request about data, write to itay.bravo@gmail.com.
- Emails already sent to recipients, video links already shared, and data already received by Anthropic, Sentry, Apple or Google are outside the app's control; see their policies.
6. Children, security, changes
The app is for professional adult use. Secrets are kept in the iOS Keychain; network traffic uses HTTPS. If this policy changes in how Google user data is used, we will update this page and ask for the user's consent before the new use.

(Limited Use)
(SitesDoc's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.)
- אפשר לבטל את הרשאות האפליקציה בכל עת ב-myaccount.google.com/permissions.
